Uploading assets
Digizuite™ Media Manager 5 offers two different methods of uploading new files:
Upload button
The 'Upload' button is located in the upper right corner of the application's interface. In order to upload new files with this method, the user needs to click the button and then select files from desktop in the upload dialog box. After selecting the files, clicking "Open" will start the upload process in the background.Drag and drop to upload
Another method of uploading files is by simply dragging and dropping them anywhere within the Media Manager's interface. While the user drags the file(s) over the application's interface, the drop area will turn white and the prompt ‘Let go to upload your files’ will appear in the center of the screen. After the user drops the files and confirms the action by pressing the ‘Upload’ button in the dialog , the upload will start in the background.
The progress of the upload can be traced in the minimized window in the lower left corner of the screen.
If the user would like to see more details, the window can be expanded and the user will be able to view the upload progress of the files individually.
The user can edit the metadata before the files finish uploading. Clicking ‘Edit this’ next to a new asset will initiate a single edit. It it also possible to edit metadata on more assets at once either with the use of Group Edit function (editing metadata on one asset at a time without losing track of all of them) or Multi Edit function (changing metadata on many assets simultaneously).
Upon clicking ‘Cancel’ the user will be asked if the remaining uploads should be dropped. The user can only cancel the upload of files still in the queue.
Clicking ‘Remove’ next to an asset will clear the asset away from the preview window.
Regardless of the method used to upload new files, once the upload process finishes, the user will be presented with a group notification for newly uploaded items in the system. While the new assets appear only after refreshing the list of assets or the page, the notifications appear automatically.
In order to view the previously uploaded assets, the user should click ‘Assets’ menu on the top bar, and then go into ‘Your uploads’.
Duplicate check
When the user uploads new assets, the system checks automatically, whether the assets already exist in the system.
This option can be disabled in the DAM Center.
If duplicates are detected and the user has the correct rights (see Roles for more details), the upload process will be paused and a new dialog appears, in which the user needs to resolve each upload conflict individually.
If upload conflicts exist, the user is presented with this dialog:
On the left side of the dialog the user can see the asset that has duplicates already existing in the system. All the duplicates are presented in the center of the window. The user can preview them either as a gallery or a list, see the usual information displayed on asset cards as well as access quick asset information.
For each conflict the user can choose one of the following options:
skip upload
upload as a new asset
replace the old asset with the new and keep metadata.
The default option is always replacing and keeping the metadata.
If there are multiple upload conflicts, after resolving each of them, the user needs to click ‘Next’ to continue, and ‘Done’ after the last one.
Once all the upload conflicts have been resolved, the upload queue resumes based on the decisions made by user. The system now automatically uploads, replaces and publishes new assets based on the user's decisions.
If the dialog is closed by the user without making any decisions pertaining the upload conflicts, only the resolved files will become uploaded, and the ones with the conflict become discarded.
Deleting assets
The users with the correct rights have the ability to delete assets from the Media Manager UI. There are two types of asset removal:
Deleting, where removed assets are archived and can be retrieved at a later point
Deleting permanently, where assets are completely removed from the DAM and cannot be restored.
In order to delete/delete permanently an asset, the user needs to select more options on an asset card and then click ‘Delete’/'Delete permanently'.
It is also possible to delete multiple assets at once. In order to perform this action, the user needs to select multiple assets and then click ‘Delete’/'Delete permanently' in the the multiselect button in the top bar.
