3.5.1 Opening documents from Digizuite™ Media Manager 5

Office documents that are uploaded as assets in the Digizuite™ Media Manager can be opened directly from the asset preview. In order to open the document, click on "Open" under the online preview/icon (dependent of the availability) and in a few seconds the document will load in the correct application. 

If the document is not locked, the user will be able to save the changes to the asset after they finish working with it.

3.5.2 Lock functionality

Once an asset is opened in Word/Excel/PowerPoint and the user is logged in in the Office Connector, the asset becomes locked for other users. It means that other users can open the same document, make their own changes to it and save it as a new asset, but they cannot replace the old asset. Only the user who has locked the asset has the ability to do that.

The locked documents are marked with an "eye" icon.

Given the correct role, some users have the ability to force-unlock the documents. If another user force-unlocks the asset, the original user will lose the ability to replace the current asset. If this happens, the user is presented with the following message:

3.5.3 Saving the asset to Digizuite™ Media Manager 5

After applying the changes to the document, the user can save the document back to the Media Manager either as a revised asset or as a new asset.

Click on the three dots in the upper right corner of the Office Connector application.

This will open a new window, which presents the user with two possibilities:

  1. If the user selects "Existing Asset", the old document will be replaced with the revised document (the asset cannot be locked by another user).
  2. If the user selects "New Asset", the old document will be preserved and the document with the revisions applied to it will be saved as a new asset.
