MM 6.1 Metadata
An asset is the combination of a file and information about this file (metadata). Certain quick information is available without having to leave the home screen. Clicking an asset gives access to viewing and editing all the available metadata (if the correct role is assigned to the user).
Types of metadata fields
According to the criterion of editability, there are three types of metadata fields:
Type | Description | Illustration |
---|---|---|
Required | The user has to edit the field. The changes cannot be saved until there is a valid value in the metafield. | |
Editable | The user can edit the metafield. | |
Read-only | The user can only view the metafield and cannot edit it. |
According to the criterion of data type, the user can encounter among others:
Type | Description | Illustration |
---|---|---|
Text fields | The user can add information in any format. The number of available characters is limited and varies dependent on the sub-type. | |
Date fields | The user can select the date from a calendar. |
|
Numeric fields | The user can only input a number with or without decimal points. | |
Drop down lists | The user can select either one or multiple values from the list of choices. | |
Checkbox fields | The user can toggle between "no" (unchecked) and "yes" (checked). | |
Tree menus | The user needs to identify the right folder. |
Note on the tree menus
The tree structure is collapsed by default when entering the edit mode on a metadata field that contains it. When the user searches for a specific value within the menu, using the search box, the menu remains collapsed until there are less than 20 values left. Once that number is reached, the menu expands automatically to display the remaining values.
Quick asset info
The "i" button located on the asset card or ‘Asset info’ button in the ‘More’ menu (dependent on the asset card configuration) gives quick access to selected asset’s information. Once the user clicks the button, the information is displayed in a small dialog. The dialog can be closed again either by clicking the same button again or by clicking empty space anywhere in Media Manager.
Metadata edit on a single asset
When the user clicks on asset, they gain access to the asset detail view. On the left side on the screen, all the available metadata is located under ‘Metadata’ tab. Metadata is divided into metadata groups that can be expanded and collapsed individually by clicking on the header of the metadata tab. An administrator can configure which tabs are expanded or collapsed by default in Administration → Portals → Configuration. Each metadata group contains a number of metadata fields.
In order to edit a single metadata field, the user needs to click/tap on the pencil symbol next to it or anywhere within the header area of the metadata field.
It is also possible to activate/de-activate the edit mode on all metadata fields within a metadata tab at once by selecting ‘Edit’/'Edit (off)' on the metadata tab header.
Saving changes in metadata
Once the changes to the metadata have been made, the user can either keep them them by clicking ‘Save’ or discard them by clicking ‘Discard’.
If the user makes changes to the metadata and attempts to leave the asset preview without saving, the following prompt will appear:
Once the user clicks the ‘Save’ button, a small notification appears in the lower right corner, informing the user that the changes are being saved in the background and the user can leave the metadata editor. This is relevant especially in case of saving many changes on multiple assets at once, as this process can take longer time.
Pinned metadata
It is possible to pin favorite metadata fields to the top of the metadata editor.
When the user hovers the mouse pointer over the name of a metadata field, a greyed out 'Pin' symbol appears next to it with the explanation 'Pin to top'.
Clicking the pin will result in the metadata field being duplicated in a metadata group 'Pinned metadata' located at the top of the page. The group is only visible, if there exists at least 1 pinned metadata field.
In order to remove the field from the pinned metadata, the user needs to hover again over the name of the metadata field and click on the colored pin. The field will be unpinned.
Input validation
In some cases the system validates whether the correct format of input has been used. If the input value has incorrect format and the user tries to save the changes, the "Save" button will turn red and the message "Error while saving metadata" will appear at the botton of the page. The following input types can be validated:
e-mail,
timecode,
URL,
color.
Dependency
Some of the metadata fields are only shown conditionally. Dependency can be configured in the DAM Center. There are two types of metadata field dependencies:
Dependency on another metadata field
The metadata field will appear only, if a certain value is selected in another metadata field.Dependency on asset type
The metadata field will appear only under a specific asset type, e.g. field called ‘Duration’ under videos.
Language versions
Metadata fields can have different language versions. If more languages are set up in the DAM Center, the user will see an arrow symbol next to a metadata field. Clicking it will open input fields for all the available languages:
AI Services
Digizuite™ Media Manager integrates with a number of Cognitive Services.
Cognitive Service available for image files are: AI tagging, AI detection of offensive content, AI detection of landmarks, AI generation of description as well as AI facial recognition:
Cognitive Service available for video files is AI generation of transcript:
AI Tagging
The metadata field for keywords contains a button "Generate AI keywords". Clicking the button results in the appearance of a series of suggested keywords generated by the AI Service. The user can choose to either keep all of them, remove some of them or discard all of the suggested keywords.
The user can generate AI keywords both for a single asset and for multiple assets at the same time.
AI detection of explicit content
A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Check for explicit content". Once the check is finished, the user received a notification in the lower right corner and the correct values and inserted in the field automatically.
AI landmark detection
A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Detect landmarks". Once the process is finished, the user receives a notification in the lower right corner and the names of the detected well-known places are inserted in the field automatically.
AI description generation
A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Generate AI description". Once the description is generated, the user receives a notification in the lower right corner and the suggested description of the activity in the image is inserted in the field automatically.
AI facial recognition
A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Detect faces". Once the process is finished, the user receives a notification in the lower right corner and the names of the detected well-known people are inserted in the field automatically.
This Cognitive Service needs to be trained before it can begin functioning properly.
AI video transcript
A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. The user needs to click the button "Generate transcript" in order to initiate the process. This can take several minutes. Once the transcript is ready, a standard notification will appear at the top bar. Clicking the notification take the user directly to the transcript metafield.
The user can now click "View transcript" which will open the text together with the timestamps in a pop-up window. The user can now edit the suggested text and save the changes once finished.
If a transcript already exists, the lower button will change into "Re-generate transcript". This will overwrite the previous transcript.

Audit trail
Audit Trail (located in the actions menu under the asset preview) is the history of metadata changes performed by the users or by the system. It contains the following information:
time of the change,
author of the change,
metafield that has been changed,
new value in the metafield.
