Asset information (metadata)

An asset is the combination of a file and information about this file (metadata). Certain quick information is available without having to leave the home screen. Clicking an asset gives access to viewing and editing (if the correct role is assigned to the user) all the available metadata.

Quick asset info

The "i" button located on the asset card gives quick access to selected asset information. Once the user clicks the button, the information is displayed in a small window. The window can be closed again either by clicking the same button again or by clicking empty space next to it.

Metadata edit on a single asset

When the user clicks on asset, they gain access to the asset preview. Under the asset all the available metadata is located. Metadata is divided into metadata groups that can be expanded and collapsed individually. The user can configure which tabs are expanded or collapsed by default in the DAM Center. Each metadata group contains a number of metadata fields. 

From version 5.1.0, in order to edit a metadata field, the user can click anywhere on the field, and then start typing or make a selection immediately, without having to click once again.

Input validation

In some cases the system validates whether the correct format of input has been used. If the input value has incorrect format and the user tries to save the changes, the "Save" button will turn red and the message "Error while saving metadata" will appear at the botton of the page. The following input types can be validated:

  • e-mail,
  • timecode,
  • URL,
  • color.

Dependency

Some of the metadata fields are only shown conditionally. Dependency can be configured in the DAM Center. There are two types of metadata field dependencies:

  1. Dependency on another metadata field
    The metadata field will appear only, if a certain value is selected in another metadata field, as demonstrated in the video below:

  2. Dependency on asset type
    The metadata field will appear only under a specific asset type, e.g. field called "Duration" under videos.

Language versions

Metadata fields can have different language versions. If more languages are set up in the DAM Center, the user will see an arrow symbol next to a metadata field. Clicking it will open input fields for all the available languages:

Saving changes in metadata

Once the changes to the metadata have been made, the user can either keep them them by clicking "Save" or discard them by clicking "Cancel".

Once the user clicks the Save button, a small notification appears in the lower right corner, informing the user that the changes are being saved in the background and the user can leave the metadata editor. This is relevant especially in case of saving many changes on multiple assets at once, as this process can take longer time.

AI Tagging

The metadata field for keywords contains a button "Generate AI keywords". Clicking the button results in the appearance of a series of suggested keywords generated by the AI Service. The user can choose to either keep all of them, remove some of them or discard all of the suggested keywords.

The user can generate AI keywords both for a single asset and for multiple assets at the same time.

AI detection of explicit content

A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Check for explicit content". Once the check is finished, the user received a notification in the lower right corner and the correct values and inserted in the field automatically.

AI landmark detection

A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Detect landmarks". Once the process is finished, the user receives a notification in the lower right corner and the names of the detected well-known places are inserted in the field automatically.

AI description generation

A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Generate AI description". Once the description is generated, the user receives a notification in the lower right corner and the suggested description of the activity in the image is inserted in the field automatically.

AI facial recognition

A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. Clicking the field reveals a button "Detect faces". Once the process is finished, the user receives a notification in the lower right corner and the names of the detected well-known people are inserted in the field automatically.

This Cognitive Service needs to be trained before it can begin functioning properly.

AI video transcript

A new metadata field is created for this Cognitive Service and it can be named according to the administrator's wishes. The user needs to click the button "Generate transcript" in order to initiate the process. This can take several minutes. Once the transcript is ready, a standard notification will appear at the top bar. Clicking the notification take the user directly to the transcript metafield.

If a transcript already exists, the lower button will change into "Re-generate transcript". This will overwrite the previous transcript.
