Asset upload
If the user wants to take full advantage of the additional possibilities offered by Digizuite when working with the images in the Adobe CC products, it is possible to upload new assets into the DAM directly though the Adobe CC Connector.
Upload from disk
The user can upload any assets from the local source by selecting "Upload from disk". This will bring forth the upload dialog box. After finding and selecting the files, clicking "Open" will start the upload process. Once the upload is finished, it will result in the appropriate message at the bottom of the application.
Upload active document
It is possible to upload the active document. The document must be saved before is can be uploaded. You have 2 options. Upload the document as a new asset in Digizuite or if the document is already a existing asset in Digizuite, then you have the option to replace the existing asset.
Using assets
The assets from the DAM displayed in the Adobe CC Connector can be used by simply clicking the insert (1). Depending on the application and the assettype we either open or place the file.
In case of InDesign, once the user has choosen a quality, the thumbnail of the image will become attached to it, until the user clicks on the spot on the page, where it should be placed. The user can also pre-select the spot, in which the image should be placed. If the goal is to replace another image already existing on the page, the user needs to click on it, and then click use and choose a quality from the connector.
In case of Photoshop, Illustrator, AfterEfects or Premiere Pro the procedure is simpler and the user can simply click use on an asset out of the Adobe CC Connector and the asset will be placed on the canvas.
Once the asset is placed on the page/canvas, the user can continue working with it like with assets from any other source.
Note about the asset quality inserted. In InDesign it will use the quality configured on the MM5 config manager (Creative cloud connector - Low insert quality). If this is not set or the asset does not have the specified quality, then it will default to the source. For all the other adobe supported products, source will be used.
In asset preview mode you have the option to choose the quality from a list. Click the use button, a window will show with the possible qualities to choose from. The possible values depends of the assettype.
Check in/out
As a user you have the possibility to lock (check out) an asset while while working on it. Preventing others uploading and replacing the asset.
As the image shows below, (1) Shows an green un-lock icon, which means that the asset is not locket. (2) Shows an black lock icon, that is locked (checked out), if you hover the lock icon, a tooltip shows who checked out the asset and when auto check-in will occur. You can check out the asset by clicking the icon.
If your user has the role "Administrator", then he has the opportunity to force check in the asset, by clicking the locked icon. The force check in dialog will show, if the asset is checked out by another user.
When you activate the menu "Upload active document", and the asset is already checked out by another user, then "Replace existing Asset" is disabled and by hovering the lock icon a tooltip shows who checked out the asset and when auto check-in will occur.
Auto check-in duration
By default when you check out an asset it will be checked for 1 hour. After that it will auto check-in the asset. You can change the duration. On the server where the Digizuite DAM is installed. Locate the file \DigizuiteCore\legacyservice\appsettings.json and look for the section CheckInOutDetails.

Links (InDesign only)
All the DAM assets used in InDesign documents are linked, and their overview can be seen in the "Links" panel. Up-to-date links are displayed as a blue icon attached to the image on the page.
The assets used in InDesign remain in the Digizuite DAM and will be available to other people as links, when the document is sent to them. It is therefore not necessary for the users to send their documents together with all the images used in them. The recipient needs access to the DAM, however, to gain the ability to update links.
When opening a document in InDesign, the system checks all the links to the DAM. If asset has been replaced in the DAM or the assets are missing on the users local harddisk, the system will show notice with a prompt. The connector will prompt you with the option to direct you to the Link Manager to relink the missing links.
Link Manager (InDesign only)
The Links Manager handles the management of assets. The Link Manager can be accessed from the menu under "Link Manager"
You will be meet with this particular page in case no assets are added in the InDesign document
If you then insert a(n) asset(s) into the InDesign document, you can press the refresh button to refresh the page and view the inserted asset(s).
In the Link Manager you can see the table with all the inserted asset in the InDesign document.
The Link Manager contains the following elements
- A refresh button to refresh the page in case of an change. Every time a new asset is inserted in the InDesign document while the Link Manager is open, the refresh button have to be clicked to update the table
- A dropdown to handle the multi selection of assets in the table
- A table to display all the inserted assets in the InDesign document
Each table row have the following metadata
- Asset which contain the asset name and the image of the asset
- Ext. which is the abbreviate for Extension
- Quality, where you can change the quality for a specific asset
- Status, the current status of the link
Status
The status column can have 4 different states as displayed in the picture above. You can hover the mouse over each icon to display the description of the state.
The status column shows if a link is broken and if the asset is a local asset, meaning it will check if the specific path of the asset can be located on your computer.
(1) indicates that the link is Locally linked and DAM Linked in other words everything is working correctly
(2) indicates that the link is broken, which means that it cannot find the local path on your computer and can be fixed by relinking the link since at this point the asset have already been uploaded to the DAM
(3) indicates that the link is a local asset that can be uploaded to the DAM
(4) indicates that the link cannot be found from the local path on your computer, so in order to fix this you manually have to find the asset and replace it in InDesign document in order to achieve status (3)
Selecting assets
The table is implemented with selection so you can selected a specific asset. An asset in the table can be selected in 2 ways
- You can either manually click the asset in the first column of the table
- You can use the dropdown, where you have 3 options
- Select all assets
- Select all assets which have broken links
- Select all asset which are local assets
Depending on the status state different options becomes available for you
In this case all elements in the table have been selected where each of the 4 possible status states are displayed.
The last asset in the table cannot be selected since it is in status state (4) which have to be fixed manually by reinserting the asset in the InDesign document.
The buttons change depending on what status the selected asset(s) are in.
The 3 possible buttons that can be displayed are
- Relink
- Upload
- Change quality
Each button displays the amount of assets which can be handled by the specific button
Relinking broken links
Relinking broken links can be done in 2 ways
- Manually selecting the assets with the broken links icon
- Using the dropdown to select all the assets that have broken links
When one of the options have been selected then the relink button can be clicked
When the asset(s) with a(n) broken link(s) have been fixed a dialog will prompt you that the content have been downloaded and relinked
After the close button is clicked the table is automatically updated
Uploading an asset
Uploading a(n) asset(s) can be done in 2 ways
- Manually selecting the assets with the upload icon
- Using the dropdown to select all the assets that are local assets
When one of the options have been selected then the upload button can be clicked.
If the InDesign document is not saved before pressing the upload button a dialog will be prompted
2 cases can occur when uploading a asset to the DAM
- The asset does not already exist in the DAM and it will be uploaded to the DAM Center
- The asset exists in the DAM Center exist in the DAM and a dialog will be prompted
If a duplicate asset is found, a dialog will be shown.
The dialog contains the following elements
- The current asset you were trying to upload with the image of the asset and the file path
- All the duplicates which are already in the DAM
- Button to chose the action for the specific asset
- The amount of asset that you were trying to upload which exist in the DAM
You have 2 options when clicking the Choose action button
- Upload as a new asset
- Relink existing asset
If you want to upload the asset as a new asset in the DAM, click the Upload as a new asset button
Then you can click Next to handle the next asset in the queue
If you want to relink the current asset with a asset in the DAM, you can click the Relink existing asset button
Then you can choose which duplicate asset that you want to relink with.
The first duplicate asset will always be selected after the button is clicked.
You can use the scrollbar or mouse scroll to scroll though all the duplicate matching the specific asset
When you have chosen the specific duplicate asset that you want to relink to you can click the Next button
When you have went through all the assets in the queue a dialog will display the amount of assets that are being downloaded and relinked and which asset is processed
When the asset(s) are downloaded and relinked, a dialog will be prompted
When the close button is clicked the table is automatically updated
Changing the quality of an asset
Relinking broken links can be done in 2 ways
- Manually clicking on text in the Quality column on a specific asset
- Selecting all the assets that you want to change the asset quality on
The dialog for clicking a specific asset will display the currently selected quality and all of the possible qualities the asset can be changed to
Beware text about qualities not being loaded
If a quality option is not downloaded for the specific asset then it will be downloaded and the asset quality will be changed automatically otherwise it will be changed automatically
The dialog for clicking the change quality button will display all the possible qualities that the assets can be changed to and automatically update them
